Responsibility
· Provide administrative assistance to the commercial team:
· Manage relationship with key customers
· Maintain import licenses as legally required
· Administrate business operation system, prepare and upload documents to the system, track all process %28PO, orders, import approvals, customs release%29.
· V Desk and grants creation, management and follow up
· Collect, prepare, and print papers and supportive materials for tenders
· Actively arrange and coordinate HCP’s events %28conferences, workshops, general training%29 and manage all the administrative and logistics operations involved
· Serve as key user for JDE system implementation, produce report, interface with local business partners
· Coordinate between multiple functions, tasks, processes and teams
· Support supply chain activities when needed
· Support general finance activities:
· Manage, track and upload invoices in systems
· Handle and manage the simple accounting in cooperation with global team and external accounting contractor
· Support day to day office management activities
· Collects and prepares information for use in discussions/meetings
· Be responsible for the day-to-day logistics and administration of the local office, including running of the office, maintenance, repairs, office supplies etc.
· Manage external suppliers, including the cleaning crew, parking, office supplies, stationary, hardware, IT, communication, mailing, deliveries, car lease, kitchen supply, etc
· Receive incoming calls for the site and host external visits
· Manage general interaction with office building and landlord management company
· Manage all mailing and general correspondence for the site on a country level
· Serve as the site EHS representative for any projects and activities
Experience
· Good English skills – verbal and written
· 5 years of experienced with administrative roles
· Excellent interpersonal skills
· Experience and proficiency in MS office
· Excellent time management skills, ability to multitask and prioritize tasks
· Attention to detail and problem-solving skills
· Pro- active approach to all situations, with the ability to anticipate problems and come up with appropriate solutions.
